2015 Annual General Meeting

Sharyn, Victor, Duane, Cody, Sheila. Melanie attended via Skype and Rhonda was contacted by phone when Item 3a) was addressed. Tony Young was present for Items 3a) and 3b).

Minutes of previous meetings (2014 AGM; April 11, 2015)

Matters arising from previous meeting

 

Transfer of Dale’s shares 

Shares to Cody, Carson & Brenna

Transfer agreement sent to Rhonda

Sent to Rhonda for signature to be dated effective today

Public record will reflect a change in shareholdings on August 1, 2016 (reporting to corporate registry is due)

Tony’s office will prepare and circulate an email containing a resolution to ratify everything that has been done at this meeting after share transfer has been confirmed (proceeding at this meeting as if the shares have been transferred)

Tony will request minute book back from Ty Akbar, Tony will cancel share #9, enter names of new shareholders in registry. Tony gave Sheila new share certificates that are to be signed by president & secretary once the share transfer has been confirmed

Share numbering is as per minute book

Need to ensure that shares 1 and 2 were cancelled

Purchase of Rhonda’s shares

 

Victor proposed, and all agreed, that Tony should press to have the closing date mid-December 

Tony will push this forward, closing agenda to be set by Ty Akbar

Rhonda’s annual assessment fees to be covered by purchasing group once shares are purchased

 

Winterizing the Cabin (Duane)

 

What needs to be done to winterize the cabin? Likely more demand over the winter months now that more of the family are retired

May not be enough to insulate the pipes, may need to have heat on in basement (there is a vent leading to the basement)

Furnace will be left on, bedroom and bathroom doors will be closed. Melanie will get plumber to check the main water valve 4 ft underground behind third bedroom to see what is needed to get it working, will get plumber to light furnace and will check with plumber as to lowest setting for thermostat to ensure that the pipe under the cabin does not freeze.

Monitoring of cabin during the winter

(Meloche Monex Ins. requirements)

i) Melody Aubin (1.250.545.3690) – is comfortable going into cabin but does not feel comfortable going into the storage area to check on the water pipes.

 

Sharyn will approach Ron and Karen Davis about going into the storage area since Melody is hesitant

ii) Couple that Sharyn knows will “keep an eye out” on their walks

Ron and Karen Davis (home: 1.250.558.0129; cell 1.250.864.0184); Sheila has suggested we pay them a gratuity

 

The Sandersons would be willing to check in on the cabin as well if need be

No major problems noted this summer

Fintry Cabin Title

Update on Discharge of Life Estates (Vic)

In the hands of the lawyer, Victor will update us as things unfold

Main Water Valve 

Assessing Problem with Main Water Valve (4 ft. underground, cannot be closed, presently) NOTE:  VERY IMPORTANT

Need to insulate outside pipes? (not drained when cabin is winterized)

Need plumber to inspect main water valve (won’t turn in right direction, leaks water into vertical hole leading to valve when turned the other way)

Currently certain that there is water in the pipes from the underground valve behind the cabin to the shut-off valve under the cabin. Uncertain whether  formerly, when Dale would drain the cabin, there was no water from the underground water valve to the point where the water pipe enters the crawl space underneath the cabin.

Melanie will contact a plumber and engage one to take a look at the main water valve before winter sets in, light the furnace, and provide guidance re: the vents (Victor has found contacts for Mitch Dally/K R Wright)

Public Lake Access #3

Notice Regarding Improvements to be made to Public Lake Access #3 next door to Sandersons (Sharyn)

Sharyn circulated the notice to the group

Fruit Trees

(Melanie – given that there is a lot of wasted fruit at some points in the summer, are there some trees to consider removing?)

Significant time spent disposing of overripe fruit, should we remove the trees?

Specifically apricot tree; Melanie will engage someone to trim the tree back significantly

Make contact with Carswells and see if we can get permission to harvest their pears when they’re not around?

Purchase of Dining Table

Pots and pans at the cabin

Duane will buy a new set at Canadian Tire; Old set will be disposed

Pillows

Pillows are old, heavy, and allergen laden

Sharyn will look into buying 12 new pillows at Costco/Wal-Mart (medium-firm)

Boat

Just gas, oil goes where dipstick sign is

Gear oil in where propeller is (Mike will oil the propeller in June)

Cabin closing

Add item: turn off baseboard heater in bedrooms

 

Maintenance

 

Cabin Users’ Ongoing Maintenance Checklist (Duane & Sheila)

Maintenance list and list of supplies will be placed in kitchen cupboard at cabin

Checklist? Keep track of when each task has most recently been completed. Sign and initial when you do any of this ongoing maintenance.

Handoff of cabin from one family member to the next (incoming family should give a call to the outgoing family)

Summer Slot Tasks Review 

 

Present Tasks and Slot Order:

1 – Major Dusting or Washing (light fixtures, tops of cabinets & shelves, cobwebs on ceilings & walls etc…)

2 – Washing Blankets and Comforters

3 – Washing Windows

4 – Major Vacuuming Cleaning of window screens

5 – Cleaning Fridge and Stove (inside and out; moving and cleaning        underneath)

Agreed that fridge should be defrosted and thoroughly cleaned at the end of each family’s stay.

ADDENDUM TO THE ABOVE MINUTES OF 2015 SIGNANT TWO AGM:

After the meeting, Vic pointed out and Sheila confirmed that the date for the 2014 Signant Two AGM was, in fact, Saturday, Nov 22, 2014 rather than Sunday, Nov 23, 2014, which the minutes indicated. Item #2 of the 2015 Signant Two AGM, which dealt with accepting the minutes for the April 11, 2015 meeting and the 2014 Signant Two AGM are hereby amended to reflect this correction for the date of the 2014 Signant Two AGM. Amendment submitted by Vic and Sheila, Nov.18, 2015.
